Frequently Asked Questions About QCARD Overview What is QCARD? QCARD is a new, custom-developed enterprise collaborative tool used at some centers to manage NASA personnel’s safety and health certification data. What are some features of QCARD? Features of QCARD include user email notifications, such as due dates and action items and a streamlined database with fast performance. Some of the future features that will be added to the application include flexible reporting options and the ability to export data. Accessing QCARD How do I access QCARD? To get started, go to https://qcard.sma.nasa.gov. Database access requires e-authentication with your NASA Personal Identity Verification, or PIV card. You must be logged into the NASA network or use your Virtual Private Network, or VPN, to access QCARD. How do I log out of QCARD? To log out, click on your name in the upper-right corner of the screen and select “Logout.” Will the system log me out automatically? Per NASA IT Security policy, the system will log you out after 15 minutes of inactivity. After 11 minutes of inactivity, a dialog box will begin a four-minute countdown. The system will log you out automatically if you don’t extend your session. Do I need a NAMS request to access QCARD? Unless you have been assigned the role of Center Admin, you do not need to complete a NASA Access Management System (NAMS) request to access QCARD. Is a specific browser required for QCARD? QCARD works best in Chrome, Firefox or Edge. Consistent with NASA standards, we do not recommend the use of Internet Explorer; Microsoft replaced Internet Explorer with Edge. Home Page What information can I access from the Home page? The Home page menu items include Jobs, Proficiencies, Requirements, Admin and Logout. You can learn more about these menu items in the QCARD User Guide. Application User Questions Will data from previous certifications be available in QCARD? Yes. If your center is transitioning from a previous system to QCARD, the NSC will migrate all data, with a relatively seamless user experience. Is the data that I enter automatically saved? No. After entering data, you must click the “Save” button before leaving the page. Any changes not saved will be lost. Can I add supporting files within the database? If you have access to edit an employee's Requirement, you can upload supporting files and view previously uploaded files. If you have access to the details of an employee record, you can upload files directly to the employee record. Roles Within QCARD How will I know if a role is assigned to me? Your role determines what you can view within QCARD. You will receive an email notification when a specific role is assigned to you. You will be able to access QCARD as soon as your role(s) are assigned. Can I have multiple roles? Yes. You may have more than one role in QCARD. If you have multiple roles, you will receive the permissions of all your assigned roles combined. See the QCARD User Guide for more information. Proficiencies, Certifications and Qualifications What's the difference between Certifications, Qualifications and Proficiencies? Certifications and Qualifications are both types of Proficiencies. Certifications require approval from the Certifying Official, Qualifications do not. What are the types of Proficiencies in QCARD? The types of Proficiencies in QCARD include the following: Valid Proficiency: A Proficiency that the employee has completed and is still valid Invalid or Expired Proficiency: A proficiency that the employee has not fulfilled or that will expire within the next 90 days See the QCARD User Guide for more information. How can I tell if someone changed an employee’s proficiencies? There’s an Audit Trail listed under an employee’s proficiencies, which includes details of the changes and who made them. What are the Certification statuses in QCARD? The statuses of Certifications in QCARD include the following: Certification Pending Approval: Certification awaiting the Certifying Official’s approval Approved Certification: Employee completed all certification requirements and Certification approved by the Certifying Official Rejected Certification: Certification rejected by the Certifying Official Suspended Certification: Certification completed and qualifications fulfilled, but in suspension because of an event that occurred, such as a mishap See the QCARD User Guidefor more information.
